Description
We are currently looking for a passionate and experienced individual to join our team as our Administrative Coordinator. Responsibilities include coordinating and providing administrative support to the Campus Director. Prioritizes and manages multiple projects simultaneously and supports operations as primary liaison with utilities such as safety and maintenance personnel, and vendors. Ana G. Mendez University serves a diverse student population, offering bilingual education to the community for traditional and non-traditional students.
ESSENTIAL FUNCTIONS
1. The position functions as a shared administrative resource supporting both campus operations and administrative affairs initiatives.
2. Provides administrative support by preparing letters, presentations, reports, and other documents as required.
3. Participates with the Campus Director in the budget preparation and administration of the Campus.
4. Support daily operations by handling and storing products, materials, and inventory management, ensuring effective utilization.
5. Coordinate the Campus events and activities to ensure compliance with policies and procedures with the Campus Director.
6. Collaborates in the coordination and logistics of activities outside and inside the campus.
7. Assists in the coordination of the commencement ceremony.
8. Responsible for codifying AMEX credit cards assigned to the Campus.
9. Coordinate with the Security Department the activation and deactivation of employees' identification badges.
10. Evaluate and make recommendations related to the purchase of equipment and supplies, order supplies, materials, and equipment following the established purchasing process.
11. Process invoices, distribute materials, and maintain inventory.
12. Coordinate with the Facilities area to ensure that the contractual services and agreements comply with campus standards.
13. Support the coordination of security services, facilities need for improvements, janitors, third-party contractors for vending machines, and general campus maintenance.
14. Acts as the liaison between service providers and the facilities area to ensure efficient communication and service delivery.
15. Provides support for events by coordinating with facilities and service providers to ensure logistics are handled effectively.
16. Support the safety area and HR department regarding all work-related injuries and assist employees with completing forms related to a specific injury.
17. Manages all correspondence, sorts, and distributes mail and faxes.
18. Schedules and requests mail services (FedEx, UPS, etc.)
19. Participates in staff and official meetings and prepares minutes of meetings.
20. Hosts, greets, and provides general information to visitors, faculty, and students as requested.
21. Maintain integrity and confidentiality of the processes, incidents, and information.
Requirements
REQUIREMENTS
1. Bachelor’s degree in a related area
2. Two (2) years of experience executing similar tasks.
3. Ability to express both verbally and in writing fluently in English and Spanish.
4. Strong work ethic and sense of integrity, trustworthiness, and ability to maintain a high level of confidentiality.
5. Excellent interpersonal and team building skills.
6. Ability to work, develop, and maintain positive, professional relationships with diverse groups of people.
7. Highly organized and able to prioritize and multi-task in a fast-paced, team-oriented environment.
8. Ability to communicate effectively and professionally with the public, staff, students, and faculty members.
9. Excellent phone etiquette.
10. Attention to detail and customer service oriented.
11. Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
12. Ability to travel, as needed.
