Description
We are currently looking for an individual to join our team as an Executive Assistant. Work consists of providing administrative support to the Associate VP of Government Affairs and Institutional Relations in the preparation of letters, presentations, reports, and other documents. Responsible for making travel and hotel arrangements for the AV. Ana G. Mendez University serves a diverse student population, offering bilingual education to the community for traditional and non-traditional students.
Requirements
ESSENTIAL FUNCTIONS
1. Provides administrative support to the Associate VP of Government Affairs & Institutional Relations in the preparation of letters, presentations, reports, and other documents, as required.
2. Coordinate meetings, events, activities, logistics, and special projects as requested.
3. Manages and maintains the executive management team's travel calendars, updated.
4. Makes and updates travel arrangements, as needed.
5. Prepare per diem allowance documents, travel, and hotel arrangements.
6. Prepare documents, coordinated conference calls, appointments, and meetings.
7. Participates in meetings and prepares agendas and minutes as requested.
8. Represents the Associate VP at meetings as needed.
9. Manages and schedules all correspondence, including requesting mail services (FedEx, UPS), sorting, and distributing mail.
10. Organizes and files electronic documents.
11. Assists and monitors the Associate VP activities to assure compliance on any timely manner documents, issues, projects, and work plans.
12. Serves as liaison between the administration, community organizations, and campuses.
13. Establish communication links with the PR staff to schedule meetings and follow up on the issues according to the work plan.
14. Anticipate needs, initiate activities to resolve minor problems, and assist the Associate VP of Government Affairs in resolving difficult and/or sensitive inquiries, complaints, and requests for information and assistance.
15. Prepare correspondence on own initiative on matters not requiring personal responses from the Associate VP of Government Affairs.
16. Prepare the budget and reports on a recurring basis, as requested by the supervisor.
17. Manage transactions related to reimbursement processes.
18. Prepare and facilitate transactions related to the corporate card.
Special Requirements
REQUIREMENTS 1. Bachelor’s degree in business administration, education, or related field from an accredited university. 2. Three (3) years of experience in a similar process 3. Ability to express him
