We are currently looking for a passionate and experienced individual to join our team as our Admissions & Prequalification Officer. Responsibilities consist of driving student enrollment growth by actively recruiting, engaging, and guiding prospective students through the full admissions and enrollment lifecycle. This role focuses on inquiry conversion, applicant yield, and successful matriculation through proactive outreach, consultative enrollment advising, and consistent follow-up. The Admission Officer serves as a primary point of contact for prospective students and plays a key role in meeting institutional enrollment targets while ensuring compliance with university policies and regulatory standards. Ana G. Mendez University serves a diverse student population, offering bilingual education to the community for traditional and non-traditional students.
Requirements
ESSENTIAL FUNCTIONS
1. Manage a pipeline of prospective students from inquiry through enrollment, ensuring consistent follow-up and high conversion rates.
2. Conduct outbound and inbound communication (phone, text, email, video, and chat) to recruit, engage, and convert prospective students.
3. Achieve or exceed assigned enrollment, start, and conversion goals established by Enrollment Management leadership.
4. Build relationships with prospective students by understanding their academic goals and presenting appropriate program options (online and campus-based).
5. Actively guide applicants through the admissions funnel, ensuring timely completion of applications, documentation, and enrollment requirements.
6. Provide personalized admissions advising prospective students regarding eligibility, program fit, admissions requirements, and next steps.
7. Serve as a trusted enrollment advisor, helping students overcome barriers to enrollment and making proactive recommendations.
8. Conduct admissions interviews, informational sessions, and one-on-one consultations to support enrollment decisions.
9. Maintain regular communication with applicants to ensure continued engagement and prevent drop-off in the enrollment process.
10. Manage assigned leads and inquiries using CRM systems, ensuring timely contact and documented activity.
11. Track applicant progress through the admissions funnel and take proactive action to improve yield and conversion rates.
12. Analyze pipeline data to prioritize high-potential applicants and improve enrollment outcomes.
13. Prepare and maintain accurate admissions and enrollment activity reports as required.
14. Review admissions applications for completeness and basic eligibility in accordance with institutional policies.
15. Ensure all required documentation is collected, verified, and properly recorded prior to enrollment clearance.
16. Maintain compliance with university policies, accreditation standards, and applicable regulations, including FERPA.
17. Responsible for the accuracy and integrity of student records across all admissions systems.
18. Represent the University at recruitment events, orientations, virtual fairs, and community outreach activities.
19. Conduct presentations to promote academic programs and increase awareness of enrollment opportunities.
20. Support outreach initiatives for both online and campus-based populations to expand the student pipeline.
21. Collaborate with academic and registrar offices to ensure smooth onboarding and enrollment of admitted students.
22. Assist with student onboarding processes, including scheduling, registration support, and orientation coordination.
23. Ensure all students are fully cleared for enrollment prior to starting dates.
REQUIREMENTS
1. Associate degree required in Business, Marketing, Communications, Education, or related field. Bachelor’s degree preferred.
2. 1–2 years of experience in admissions, recruitment, sales, customer service, or enrollment management preferred.
3. Ability to express both verbally and in writing fluently in English and Spanish.
4. Strong ability to convert inquiries into enrolled students.
5. Sales-oriented mindset with ethical recruitment practices.
6. Excellent persuasion, listening, and relationship-building skills.
7. Ability to manage and prioritize a high-volume prospect pipeline.
8. Data-driven decision-making using CRM systems and performance metrics.
9. Strong follow-up discipline and urgency in communication.
10. Results-oriented with focus on enrollment targets and yield rates.
11. Strong presentation and public speaking skills.
12. Demonstrate mastery of business productivity technological tools and remote communication technologies to support their functions and offer physical and remote services.
13. High emotional intelligence and student-centered approach.
14. Ability to work independently in a goal-driven environment.
15. Flexibility to work evenings and weekends as needed.
